Whistleblowing instructions

 

For regular feedback or general business-related matters, please use our usual communication channels first, such as your Solnet Group contact or info@solnet.group.

If these channels are not appropriate for the matter you wish to raise, or you suspect misconduct, a breach of law or a violation of our ethical principles, you can use our whistleblowing channel.

Reports can be submitted anonymously. The whistleblowing channel is provided through Falcony, an external service provider, to ensure a secure and confidential reporting process.

Whistleblowing channel

To promote an open, transparent and safe culture, Solnet Group provides a whistleblowing channel for reporting suspected misconduct. The channel supports compliance with the Finnish Whistleblower Protection Act and the European Union Whistleblower Protection Directive.

The whistleblowing channel provides a confidential way to report suspected misconduct, breaches of law or violations of our ethical principles for internal investigation. Reports can be submitted anonymously.

Reports should be made honestly and in good faith. You do not need to have conclusive evidence of misconduct, but you should have reasonable grounds to believe that the information you are reporting is accurate.

All reports are handled confidentially and with respect for the privacy of both the reporting person and the person who is the subject of the report. Personal data is processed in accordance with applicable data protection legislation.

Reports can only be accessed and handled by designated persons at Solnet Group. These persons are the Head of HR and the Talent Acquisition Manager.

If a report concerns one of the designated case handlers, that person will not participate in handling or investigating the case. We will acknowledge receipt of your report within 7 days.

If additional information is needed during the investigation, we may contact you through the Falcony channel. Communication can continue confidentially and anonymously.

We will provide feedback on the outcome or follow-up measures concerning the report within 3 months of acknowledging receipt of the report.

How to report

• You can submit your report anonymously. Follow the instructions in the reporting form and provide as much relevant information as possible to allow the matter to be assessed and investigated.

• After submitting your report, you will receive a personal anonymous username and password. Please save these credentials carefully, as they are shown only once and cannot be recovered.

• You can use the credentials to log back into the channel, follow the progress of your report and respond to any follow-up questions from the persons handling the case.

• If you lose your credentials, please submit a new report and refer to your original report so that the investigation can be continued in cooperation with you.
  
  

External reporting channel

As a general rule, suspected breaches should first be reported through Solnet Group's internal whistleblowing channel. In certain circumstances provided for in the Finnish Whistleblower Protection Act, a report may also be submitted through the centralised external reporting channel of the Office of the Chancellor of Justice of Finland.

Reports to the Office of the Chancellor of Justice may also be submitted by email to ilmoittajansuojelu@gov.fi, by post or verbally.

Whistleblower protection is subject to the conditions set out in the Whistleblower Protection Act. In general, the reporting person must have reasonable grounds to believe that the information reported is accurate, the matter must fall within the scope of the Act, and the information must have been obtained in a work-related context.
